The Essential Checklist for Managing Complex Outdoor Event Logistics
Every outdoor show is a construction project, not a party planning exercise. If you think about ‘deadline’ in the most literal sense, it’s that point at a.m. on the day of the show when you will either have a workable stage and site, or not. The thing that most often puts a show on the wrong side of this equation is a failure of access. That might be because there is no road, no parking, no load-in door, no security gate, or nowhere to turn around without backing into traffic. Most often, it is a combination of the above.
The Site Survey Isn’t Optional
Before we can even draw up a CAD site map, we have to send someone out with a clipboard. Not just order satellite photos.
A proper site survey compiles not just the complete footprint’s measurements, but notes on where the land is unsteady, how water naturally drains away, how the sun irradiates potential positions, how too-insistent local fauna may interact with heavy equipment, and who’d win if geese tried to take down a forklift.
This survey should also detail every installed or accessible power outlet; flag any marked or assumed buried lines, pipes, or low-voltage systems; and give you the length of an extension cord or signal run from the building corner to your mix position. That last number alone affects two line items in your budget.
Build a Power Plan That Assumes Something Will Fail
A single generator is not a power plan. It’s a single point of failure with an electrical cord attached to it.
A redundant power plan means each critical zone, stage, FOH, catering, emergency lighting, runs from a separately addressable source. It means your backup gensets are positioned and pre-cabled before the event starts, not sitting on a trailer in the parking area. It also means specifying whisper-watt technology in your generator package if audio quality matters, because standard diesel generators introduce hum and interference that no amount of mixing will fully correct.
Map your cable runs against your permitting documents. Ground-level runs require proper ramp covers or burial, and both create logistics constraints that need to be in the load-in plan, not resolved on the day.
Sequence Your Vendors Before Anyone Arrives
More outdoor events with limited site access fail when the equipment is being brought in than at any other time. Multiple vendors all arrive at the same access point and on the same schedule, and the result is that equipment sits on trucks, your crew stands around, and you’re already behind times before you even get started.
Before you even sign the first vendor contract, you need to know who brings what when. Staging sets up will be your first priority. Then your lighting, sound, video, and special effects contractors will need to get their gear in place. A single one of those categories leaving their truck parked in the loading zone for too long blows up everyone’s day.
This is an area where the scale of a vendor like Onstage Hawaii matters. They can’t do a dozen corporate parties a day. They focus on making your concert or show their only priority. They come with the experience of having done this exact same gig in this exact same physical space before. If you have ever worked in that environment, you know just how valuable that local knowledge can be.
Weather Contingency Means Specific Numbers, Not General Language
Instead of relying on a knee-jerk reaction, such as "We’ll secure equipment if the weather gets bad," a properly designed weather protocol outlines in advance the actions to be taken. What wind speed reading on your anemometer indicates that it’s time to make a pre-check of truss connections? What is your sustained reading at which the stage is to be cleared? What is the reading at which the event should be paused altogether?
The Event Safety Alliance makes these recommendations: "Outdoor temporary structures should be designed with a safety factor of 1.5 to 2.0 times the anticipated load requirements for wind or other elements. Wind load warnings for your stage and roof systems should be obtained from the manufacturer of your specific structure before the event, and you should receive these ratings in writing from your staging vendor."
Hire a weather monitor who has direct access to online information. Weather conditions on a coastal or elevated site can be drastically different from conditions two miles down the road. Woefully, many people only have smart phone weather apps, which, by the way, are non-existent in a severe weather emergency when your battery is out of charge and power is down.
Lighting Design Has to Account For the Sky, Not Just the Stage
Designing outdoor lighting is totally different from designing indoor lighting. The natural light varies throughout the day, and if your lighting concept does not consider the shift from daylight to total darkness, your show will not be consistent.
High-lumen LED lights help you compensate for dusk without overusing your generator. Prepare your cue sheets using sunset times local to your performance location. Run through your changes live to ensure all the timings work as planned.
State in your technical rider the required IP protection grade for lights installed outside of your own hardware. IP65 should be the lowest grade for lamps exposed to the elements. Go for IP67 if the section of the space could be flooded.
People come for the show, not the infrastructure. The plan of everything technical is thus equally important to anything your audience will focus on.
